A practical preparation list for facility managers: bills, operating hours, equipment details and the questions to agree before an energy audit.

Start with the question you need answered
A high electricity bill, repeated trips and equipment damage are different problems. Describe the issue before requesting a quotation: when it happens, which equipment is affected and what changed recently. That helps the audit team discuss an appropriate scope rather than promise a generic report.
Put the records in one place
Gather available electricity bills, operating hours, production or occupancy records and an equipment list. Include existing drawings, meter data and earlier reports if you have them. BEE’s energy-audit material describes baseline data collection, monitoring, analysis and recommendations as parts of the audit process. Missing records should be discussed before the visit, not filled in with estimates presented as measurements.
Agree what the quotation covers
Ask which systems will be assessed, which measurements are included, how long monitoring will run and what access is needed. An energy-use review is not automatically a complete electrical safety assessment or a power-quality investigation. If you need one of those, have it named in the scope. Confirm the qualifications required for your specific assignment.
Plan site access with your facility team
Nominate a site contact who understands the equipment and operating schedule. Explain restricted areas, shutdown windows and visitor requirements. Any work on electrical equipment must follow the site’s safety procedures and be undertaken by appropriately qualified personnel. This preparation guide is not an instruction to open panels or take measurements yourself.
Ask for findings you can act on
Before appointing the team, agree the report format. Ask how measured findings, assumptions, proposed actions and cost estimates will be distinguished. A recommendation is more useful when it identifies the affected system, the next action and the information still needed. Savings estimates should state their assumptions rather than imply a guaranteed reduction.
Prepare a clear enquiry
Send your location, facility type, main concern and available records to SPSPL. Include any deadline or specific reporting requirement. Our team can discuss the audit enquiry and confirm the proposed scope; availability and deliverables belong in the quotation, not in a general website promise.
